NHS-R Committee Meeting

Conference update

[Sponsorship]{.underline}

AphA have been invited to attend and have a stand as a partner organisation.

Jumping Rivers have confirmed they will have a stand and sponsor the event. Jumping Rivers provided a contact at the Royal Statisical Society to see if they would like to have the final stand and provide sponsorship.

Anastasiia will chase NHSE again for an update on possible sponsorship.

[Conference 2025]{.underline}

We will also need to start to think about what we want to do next year and whether we wish to hold another conference in the Birmingham area or go to another region, taking account of accessibility and carbon footprint.  We agreed to wait until after HACA.

We can ask the question about location in the RPySOC 24 post-conference feedback (but bear in mind that this is people who attended!).  We will also ask virtual attendees what the barriers (if any) to attending were and whether certain locations would have made them want to attend in person.

[Surplus funds]{.underline}

Due to careful spending, there will be some surplus budget for RPySOC 24.  We agreed that a small spend on some directional floor stickers at the venue would be a good idea and an effective use of funds.  It is important that all attending feel welcome, particularly if they are travelling to and attending the conference alone.

We would also like to offer help with travel and accommodation for people who want to attend but are unable to obtain funds from their employer.  We will need to see some proof that the travel/accommodation has been declined, such as an email from their manager.  We will also need to cap the amount for each person.  It will be particularly important for those presenting at the conference.  We would book the travel and accommodation and be subject to our procedures at NHS ML.

[Abstracts]{.underline}

All are reminded that the deadline for receipt of abstracts is 26 July and so far just three have been received. 

[NHS-R accounts]{.underline}

Zoë is looking at using SubStack to take all email addresses from the current Wordpress site and ask if people would like to sign up to a newsletter;  this should be an effective way to promote events and NHS-R generally.

The NHS-R Posit cloud licence is due for renewal.  However, as this is not being used as extensively as previously, it was agreed that it would be better to not renew and save circa several thousands of pounds.

[Fellowships]{.underline}

Zoë has circulated a revised Fellowship criteria which is updated following previous discussions.  The basis is that everyone who regularly attends and satisfies the criteria will be a Fellow. 

[AOB]{.underline}

Podcasts – Zoë has added these to the NHS-R YouTube channel and included subtitles.  The Podcasts have proved popular and even received likes.

Lyn is working on making the Intermediate R into multimedia course and would be happy to have some assistance with working out the format of some multiple-choice questions which test understanding.  Action: Zoë/Lyn to share on Slack Committee channel.
