# Software Carpentry Foundation Communications Subcommittee

## I Charge of Subcommittee ##

The communications subcommittee manages the development and release of materials related to the external communications from Software Carpentry. This subcommittee will develop and execute communications plan to promote public awareness and understanding of the Software Carpentry Foundation.

May need to clarify the meaning of "external" here. We have folders in our repo for instructors, among others, and internal communication is included in the "responsibilities" section below.

External means from Software Carpentry to the outside world. A press release, a grant application, or the emails with workshop hosts are external communications. A summaries of a committee meeting, updates on how to build a workshop, or all the discussions on Github are internal communications.

Of course, they'll be some overlap and things hard to qualify. Your example about the workshop instructors is one case. Some stuff related to workshops need to be addressed to the helpers too, which in general don't belong to SWC and aren't aware of our practices. It makes sense to include instructors in there. An example could be the email that the lead instructor or the admins send to all instructors and helpers at the beginning of the workshop, reminding the code of conduct and all that.

Also, I think that the scope of the communications committee is larger than the scope of this repo and not all external communications go thru this repo. The communications committee deals with using Twitter or our blog to promote SWC. However, the place for the stuff to happen is our blog and Twitter, and not this repo. The same thing may be true for the badges and the issues we have last week.

I'd suggest adding a list of channels the committee manages. For example,

  • Twitter account,
  • blog,
  • this repo,
  • maybe a channel in YouTube/Vimeo to post our stuff?

We also should name a "maintainer" (or two) for each channel. Also, I'd use the communications mailing list to manage the internal communications of the committee, i.e. things that are addressed onlyto the committee members, and leave the issues in this repo for stuff related to the repo materials. This is because not everyone interested or that contributes to the repo is interested in all some of the other stuff vice versa.


## II Subcommittee Roles ##

**Chair** - The Chair will be selected by the committee members and serves for 12 months. The Chair works with the designated Steering Committee liaison and the other committee members to propose the goals and objectives for SCF communications. The Chair is responsible for following up on the completion of any delegated tasks subcommittee members have volunteered for. The Chair also convenes meetings and sets preliminary meeting agendas as needed. The Chair is meant to be an organizer of the committee’s activities and has the same equal say as other committee members.

Should the chair automatically be somebody on the SWC board? If not, then it's probably important to make sure that that liaison exists somehow.

@swaldman3 At present, I am on the committee as the SWC board liason. I would prefer that the chair not be me given the time commitments of both positions. The current proposal is to always have a SWC board liason on this committee.

I agree with having separate roles. We're all busy people and there's no need to overload someone's duties.


**Secretary** - The Secretary maintains all the notes and records of the committee and meeting minutes. The secretary may also holds meetings in the case of the unavailability of the Chair.

1. Communicating the mission and activies of SCF to the public.

1. Supporting the communication of the mission and activities of SCF to partners.

1. Supporting internal communication between SCF membership.

The committee will meet as needed and determined by the Chair and Secretary.
